This is a full-time role (normal hours 08.30-16.30 each day) reporting to the GMC Manager based the Gordon Messenger Centre at Commando Training Centre Royal Marines, Lympstone.  The role holder will coordinate and support all aspects of the GMC’s administration activity and assist the GMC Manager to maintain the smooth day-to-day running of the Centre with routine administrative and housekeeping tasks.  This is a first point of contact and user-facing role that requires good interpersonal skills, a customer-focussed approach, with a keen eye for detail.

The role holder will be diplomatic, sympathetic, and a confident self-starter. They will require sound organisational skills and be able to prioritise a varied and busy workload.  They will require good judgement combined with a meticulous, accurate and disciplined approach to work.  The role holder should be willing to organise and attend events and activities outside of normal working hours by prior agreement.

Professional Responsibilities 

  • Champion the GMC, CTCRM and wider RM Corps/ Corps Family.
  • Process all donations on excel spreadsheet and maintain accurate daily/monthly totals subject to routine governance checks and with training, relevant finance tools.
  • Carry out general administrative tasks of data input, data and customer feedback, including answering phone, word-processing and forms, printing and photocopying.
  • Be the first point of contact for bookings enquires at the GMC office.
  • Collect and distribute incoming and outgoing mail.
  • General administrative tasks, including management of the stock room and stock control of paper supplies and other Centre equipment.
  • To assist with the delivery of existing and new schemes of work, initiatives, and events, including volunteers rota. This will include the arranging of desks, tables, sliding doors, IT/AV equipment, control of access and visitor access notifications with the CTCRM Security Office (guardroom), safety briefings, key protocol adherence.
  • Produce quotes and purchase items with approval from GMC Mgr.
  • To collate and exchange information regarding volunteers’ roles, responsibilities, tasks, rota between volunteers and GMC Manager.
  • To assist Centre Manager in promoting activities through established social media eg Families/GMC FB pages.
  • To carry out Deputy Building Manager duties and defect reporting where required.

Professional Knowledge and Skills

Essential:

  • Good interpersonal skills and customer focus.
  • Good coordination, administration, and planning skills, including cash handling and financial data entry.
  • Good verbal and written communications skills.
  • Good MS Word & Excel skills
  • Good phone, email, and face-to-face communication.
  • Good experience of a similar role where there was a requirement to prioritise workflow and meet deadlines.

Desirable:

  • Good working with a range of institutions and individuals who form part of the support objectives of the Centre, including include administration staff and key individuals from specialist welfare and information groups.
  • Good experience in collaborative working.
  • Working with volunteers and suppliers.
  • Experience of database management.

Hours.  35hours per week Mon-Fri 08.30-16.30hrs general hours

Location. This is a static post based at GMC, CTCRM.

FTE Salary.  £22,500K per annum, initially fixed term 1-yr.
