Role Summary

The COO is responsible to the Board for the smooth and efficient day to day management of R2R in every aspect.  This includes preparing proposals for strategic decision making by the board, ensuring that the R2R ethos is adopted and delivered by all staff and volunteers, sound financial planning, ensuring that client handling is delivered in the best interests of the client, event/fund raising coordination and responsibility for all employee management and well-being.

R2R has 9 employees, 14 self-employed coaches, several volunteers, hundreds of committed supporters and a couple of fund raisers working on commission.  The COO is responsible for melding these disparate groups into an efficient team.

The COO, along with the MD, is responsible for initiating new business developments, widening the reach and reputation of the coaching and maintaining all these relationships to ensure that R2R (a community interest company) can meet its financial commitments.

 

Main Duties and Responsibilities

Client Handling. Oversee the referral team in ensuring that clients are treated according to the ethos and values of R2R. The COO needs to have a detailed understanding of how the Government, the Military and Military Charities supports the R2R dependency, including the emergency services.  Specific responsibilities within this are:

  • Instill in new staff and sustain in everyone the R2R ethos.
  • Responsible for the confidentiality of all clients and staff.
  • Maintain and build on the referral sources available for potential clients, including income sources.
  • Identify pressure points on staff and coaches to ensure that nobody is overworked.
  • Responsible for the safeguarding of clients, staff and coaches.
  • Oversight and monitoring of lone working.
  • Review and update all processes and procedures annually.
  • Handle all complaints.
  • R2R is nothing without the App. The COO is responsible for the smooth running of the App at all times.
  • Act as secretary to the Advisory Board.

Financial.  R2R depends upon its income.  This work is done in conjunction with the Company Secretary.

Specifically:

  • Supervising the daily financial management with Laura.
  • Three-year cash flow planning.
  • Authorising all self-employed coaching sessions and their payment.
  • Overseeing staff allowances, subsistence and salaries.
  • Prepare company accounts and CIC 34 for the Company Secretary.
  • Sustain the strong relationships with current donors.
  • Apply to trusts, foundations and any individuals for grants.
  • Liaise internally to prepare regular donor reports.
  • Sustain a point-of-sale capability.
  • Ensure all invoices are raised.
  • Build on income generation.

Events and fundraising. Events run by R2R are critical to spreading awareness of our services and melding the hundreds of supporters into an inspiring community. The COO must drive all external fund-raising opportunities.

Specifically:

  • Support the Head of Events and fund-raising in all the activities.
  • Monitor income and expenditure of events.
  • Help plan the annual events to maximise income.
  • Support the activities of all R2R’s national and established fund-raisers.
  • Monitor the committees established on Jersey and the Isle of Man.

Human Resources.  R2R has a small and very lean team.  Processes are kept to a minimum and the staff are spread throughout the UK.  Maintaining the effectiveness of the team requires more effort than a single office environment.

Specifically:

  • Ensure contracts are in line with UK law.
  • Lead annual R2R gathering.
  • Authorise training where necessary.

PERSON SPECIFICATION

The person must be someone who can negotiate with Government agencies, major charities and organisations but also deal with the most vulnerable in a calm and reassuring manner.  The person must put the clients and staff first before any other duties.  This is the ethos that runs through the company.  The COO must be both a caring person and an experienced fundraiser.

The main requirement is that the person must be a proven leader and manager at board level with the desire to build on the foundations of a fledgling CIC that now needs to cement its position as the lead specialist and non-clinical coaching organisation for the military, emergency services and their families.  The COO will have full authority to grow R2R provided it maintains its ethos. The COO does not have to attend the Exeter office permanently, but a visit, on average, one day a week is expected. However, this can be negotiated.

Line Management

The COO is line manager for five members of staff.

Administration

Travelling to all parts of the UK and GB is required but not regularly.  Travel and expenses are covered.

Leave entitlement is 25 days per year plus all holidays.

Training for role can be provided if necessary.

6-month probation period.
